Full-time Accounting Assistant/Specialist position for a not-for-profit institution; reports directly to the Director of Finance. 

General Statement of Duties:  We are looking for an Accounting Assistant to perform daily clerical tasks including processing financial transactions/cash receipts, preparing reports and budgets, research, and administrative tasks.  The position has the opportunity for growth and responsibility of other finance functions depending on the candidate and experience.  The ideal candidate has an understanding of non-profit accounting principles, excellent customer service skills, ability to multitask, strong organizational and time management skills, attention to detail, and is able to work independently with minimal supervision once trained.


Essential Job Functions may include:

  • Process daily cash receipts including; checks received by mail or through lockbox using remote deposit, daily credit card transactions using AR software (Chaverware) CC processing system, and PayPal transactions
  • Accurately post payments to member accounts
  • Enter member billings for various revenue streams including processing adjustments and corrections
  • Special event tracking for fundraising and events
  • Communicate daily with members via email and phone to address questions and concerns
  • Prepare reports from AR software (Chaverware) as requested
  • Prepare and process export of cash receipts into Accounting Software (MIP)
  • Prepare and send monthly member account statements
  • Proactively monitor member accounts
  • Assist with budgeting
  • Analyze accounts receivable and collectability
  • Work with vendors and compliance agencies to fact check and resolve discrepancies
  • Prepare journal entries
  • Reconcile bank statements
  • Set up new employees in time and attendance system (ADP)
  • Assist with onboarding of new employees by obtaining proper paperwork and background checks
  • Prepare and process semi-monthly payroll including preparation of journal entry
  • Manage employee benefits: monitor eligibility, make changes to enrollment and withholding as necessary, approve monthly benefit invoices, communicate with benefit providers, prepare and provide required communication to employees, annual enrollment
  • Assist with 401k pan compliance and filings



  • Solid understanding of basic accounting principles


  • Ability to multitask while maintaining high degree of accuracy and attention to detail


  • Experience as accounting assistant, accounts receivable clerk, or bookkeeper a must


  • Exceptional customer service and communication skills


  • Payroll processing experience with ADP Workforce Now preferred


  • Proficiency in MIP/Sage Abila Fund Accounting and Excel preferred


  • Salary commensurate with skills and experience
